Write the physical requirements
List the intended garment or object, usable placement area and finished patch dimensions. Identify whether the shape can be simplified and which lettering is essential. Keep these facts separate from inspirational images, which may illustrate a style without establishing a workable specification.
Identify the commercial scope
State the ordered quantity and list any distinct design versions. Include the delivery postcode and the actual required receiving date. Ask for the relevant attachment and finishing options to be named in the quote so they are not silently inferred from a photograph.
Give approval one clear owner
Collect spelling corrections and design feedback in a consolidated list. Compare each new proof against the stated dimensions and the latest revision rather than reviewing only its visual appeal. The final approver should know which version is being authorized before production scheduling begins.
Keep the reorder packet usable
Retain the approved proof, material, full dimensions, backing and quantity breakdown in one place. If a reorder changes the garment, artwork or size, flag that change instead of treating it as an identical repeat. A clear record reduces ambiguity without promising that every future project needs no further review.

Questions for this project
What should accompany a logo when requesting embroidery?
Include finished dimensions, quantity and versions, intended placement, backing preference, destination postcode and the required receiving date.
What makes an old order a genuine repeat?
The relevant approved specification must remain the same. Changes to artwork, size, material or attachment should be identified and reviewed rather than hidden under a reorder label.
