Choose the crop with the patch shape

A rectangular photograph does not automatically fit a round or shield-shaped patch. Place the intended outline over the image and keep important faces or features away from the cut boundary. Include room for finishing so the approved crop is not dependent on pixels at the very edge.

Keep type separate from the photograph

Text placed over a busy picture can become hard to read after reduction. Consider a distinct text band or a quieter area of the composition. Check the actual size instead of judging the design only at presentation scale. A visually rich image still needs a clear focal point.

Supply an honest color reference

Send the best original file available and identify any color that is especially important. Repeated screenshots can introduce compression and color shifts before production begins. A monitor preview is not an absolute color guarantee; discuss the relevant process and reference expectations with the quote.

Plan receiving before the event

Provide the Las Vegas delivery postcode and the actual receiving deadline, including any handoff to another organizer. Keep the proof approval date distinct from production and transit. Do not use an event date as a substitute for a complete schedule or assume a guaranteed last-minute delivery.
